Position Overview

We are seeking a dedicated and industrious individual to take on the role of Healthcare Records Supervisor within our dynamic Medical Records Appointments Team. This position is ideal for those who thrive in a fast-paced environment and are eager to embrace new challenges.

The successful candidate will possess outstanding communication and organizational abilities, complemented by a friendly and professional telephone demeanor. Proficiency in IT, along with a meticulous attention to detail and the capacity to manage multiple tasks simultaneously, are essential attributes for this role, as you will be assisting the team with various IT and administrative responsibilities. Experience in IT and personnel management is preferred.

Key Responsibilities

The Healthcare Records Supervisor will deliver a comprehensive, high-quality, and confidential administrative service to the divisions and their teams, supporting the Service Coordinator and Service Manager.

A primary responsibility of this role is to effectively manage clinic bookings and coordinate appointments and waiting lists. The Supervisor will be expected to prioritize their workload and synchronize their activities with those in the specialty team, under the guidance of the Service Coordinator, to ensure the delivery of an efficient service. It is crucial for the post holder to demonstrate initiative appropriate to the role and provide support to colleagues within the administrative team.

Job Duties

As the Healthcare Records Supervisor, your responsibilities will include:

  • Managing referrals
  • Scheduling outpatient appointments
  • Overseeing waiting lists
  • Monitoring the Telephone Reminder Service (TRS)
  • Managing Referral to Treatment (RTT) patient pathways
  • Engaging with patients and caregivers in a professional manner
  • Supervising staff

Qualifications and Skills

Essential Qualifications

  • GCSEs in English and Maths at Grade C or above
  • Understanding of confidentiality requirements in accordance with the Data Protection Act and relevant guidelines
  • Prior office experience

Desirable Qualifications

  • Familiarity with Trust Systems, including PCS, Somerset, and E-Referral

  • Strong verbal and written communication skills
  • Excellent customer service abilities
  • Patient-centered approach, adaptable, and open to suggesting improvements
  • Ability to work collaboratively within a team and independently
  • Capacity to perform under pressure in a systematic and logical manner
