As part of our ongoing commitment to employee welfare, NHS Scotland is implementing a reduction in the full-time working week from 37.5 to 37 hours, effective from April 2024, without any alteration in remuneration. This adjustment will also apply proportionately to part-time staff. Please note that while this change is forthcoming, certain service areas may require temporary adjustments, potentially necessitating up to an additional 30 minutes of work per week until new rosters are established.

The position operates on a Monday to Friday shift pattern. (Please be aware that the salary is pro-rata for part-time hours.)

The successful candidate will be responsible for delivering a comprehensive administrative and secretarial service to designated Consultant(s) and their teams. This role will serve as a central point for providing assistance and guidance to staff, patients, and professionals regarding service inquiries, while also coordinating the patient journey.

The department offers a full spectrum of professional administrative, secretarial, and clerical services that underpin clinical staff in their mission to provide high-quality, efficient, and patient-centered care within Acute Services, aligning with both local and national standards.

Key Responsibilities:

  • Perform personal assistant duties to support the departmental Consultant(s), including document preparation, filing, audio transcription, and drafting correspondence and medical reports to enhance patient care efficiency.
  • Oversee the scheduling of Consultant(s)/Team(s) diaries to optimize time management.
  • Sort, distribute, and prioritize incoming correspondence, exercising judgment to determine which documents require direct attention from the Consultant and which can be directed to others.
  • Handle telephone and in-person inquiries from various stakeholders, including staff, patients, and relatives, ensuring effective communication and service delivery.
  • Coordinate appointment arrangements for referrals to appropriate clinics and departments, considering urgency and wait times.
  • Manage waiting lists to ensure optimal resource utilization and adherence to hospital waiting time targets.
  • Collaborate with multiple departments to maintain accurate and up-to-date patient records, including inpatient, day care, and outpatient investigatory results.
  • Work with the Consultant's team to plan clinic and on-call schedules, communicating these effectively to department staff.
  • Assist in recording and drafting minutes of meetings for review by the Consultant team.
  • Share responsibility for typing discharge summaries and clinic letters.
  • Update patient admission and transfer lists as necessary.
  • Contribute to the development of office and secretarial practices to enhance service delivery.
  • Provide cross-cover support, including working across different sites when required.
  • Communicate with Consultants regarding the provision of written information for external agencies as needed.
  • Share responsibility for maintaining health and safety standards within the office environment.
  • Mentor administrative staff, fostering professional development.
