Knight Frank is seeking an Administrative Operations Specialist to provide vital support to the Battersea & Riverside Lettings team.

Role Overview:

The Administrative Operations Specialist will be responsible for delivering outstanding customer service while providing essential support in lettings administration. The ideal candidate will possess a keen eye for detail and excel in a collaborative environment, maintaining composure under pressure while consistently providing diligent and efficient assistance.

Key Responsibilities:

  • Maintain comprehensive property activity records, ensuring all updates are timely and accurate.
  • Manage land registry title checks and uphold impeccable hub records.
  • Design and prepare necessary template letters and forms, including marketing recommendations and terms.
  • Collaborate with clients to collect required documents, laying the groundwork for effective property marketing.
  • Ensure adherence to best practices and compliance with GDPR and ISO regulations, showcasing your expertise.
  • Prepare insightful reports for weekly and monthly meetings, aiding in strategic decision-making.
  • Promptly distribute portal inquiries and streamline system processes as the primary problem solver.
  • Handle office invoices, create purchase orders, and process goods receipts with accuracy.
  • Implement clear desk and screen policies, manage storage protocols, and proactively address security incidents.
  • Generate and analyze Power BI reports, delivering critical information security insights to teams.
  • Facilitate the smooth induction and onboarding of new employees, effectively managing internal transfer requests.
  • Lead initiatives to enhance customer experience, ensuring every client interaction is positive and memorable.
  • Coordinate and improve property listings with professional EPCs, photographs, floorplans, and engaging descriptions.
  • Implement and uphold ISO regulations, health and safety protocols, and sustainability objectives.
  • Oversee office facilities, arrange necessary contractor work, order supplies, and ensure all equipment operates efficiently.

Key Experience Required:

  • 3+ years of experience in a similar Operations or Administrative role.
  • Proficient IT Skills - Microsoft Office.
  • Industry knowledge is advantageous.
