Job Summary:

We are seeking an experienced and highly organized Administrative Assistant to provide exceptional support to our UK General Manager. As a key member of our team, you will be responsible for ensuring the smooth functioning of our operations.

Key Responsibilities:

  • Diary and Calendar Management: Manage the UK General Manager's diary and calendar, ensuring timely and efficient scheduling of meetings and appointments.
  • Meeting Management: Coordinate and prepare for meetings, including arranging travel and accommodation for international meetings.
  • Minute Taking: Take accurate and detailed minutes of meetings, ensuring that all action items and decisions are recorded.
  • Agenda Creation and Distribution: Create agendas for meetings and distribute them to the Senior Management Team in a timely manner.
  • Travel Arrangements: Arrange travel, accommodation, and transportation for international meetings and events.
  • Event Management: Coordinate and manage events, including conferences, meetings, and other corporate events.
  • Financial Management: Reconcile credit card statements and perform other financial tasks as required.
  • Communication: Communicate effectively with other departments and international offices, ensuring seamless coordination and collaboration.
  • Ad-Hoc Tasks: Perform other administrative tasks as required to support the UK General Manager.

Requirements:

  • Experience: Previous experience as an Administrative Assistant or Executive Support Specialist supporting senior management.
  • Organizational Skills: Exceptional organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Communication Skills: Excellent communication skills, with the ability to build strong relationships with colleagues and stakeholders.
  • Technical Skills: Advanced proficiency with Microsoft Office Suite, with experience using SAP a plus.
