About the Role

We are seeking a highly skilled and motivated Operations Executive to join our team at Acosta Europe. As an Operations Executive, you will play a critical role in supporting the success of our business by providing exceptional administrative support to our teams and clients.

Key Responsibilities
  • Administration & Data Management
    • Ensure accurate and timely data entry into client trackers and management of master data in line with standard processes.
    • Monitor and report on submitted data by field representatives and ensure data is up-to-date and accurate.
  • Technical Support
    • Provide technical support with loading of relevant scripts in line with client objectives and ensure scripts are in line with standard processes.
    • Communicate completion of updates and any potential impacts to users.
  • Call File Management
    • Ensure calls are added or removed when required and that address and territory details are always accurate.
    • Support with any requirements for changes to call files and utilize Geoplan territory planning tool.
  • Reporting
    • Complete basic reporting, utilizing basic formulas such as vlookups, and ensure accurate and timely reporting.
  • Support for Account Briefing Process
    • Ensure account activity briefs are produced and sent to the field as required.
    • Compile visual aids and training documentation for the field and ensure relevant information is set up in relevant systems.
  • New Business (if applicable)
    • Support with new business projects and client review presentations as required.
    • Help build monthly and quarterly client review presentations and analyze operational information to ensure relevance for client needs.
    • Build PowerPoint presentations to simplify findings and outputs.
  • Financials (if applicable)
    • Manage fuel reconciliations, expenses, driver deductions, and hire vehicles.
    • Manage credit card reconciliations and ensure deadlines are met for payroll.
  • Strategic Direction
    • Contribute to the strategic direction of the account and business.
    • Review and propose new ways of working for current processes and procedures.
  • Other Requirements
    • Attend a minimum of 1 field visit and 1 meeting per quarter.
    • Regularly read and follow company policies and procedures.
    • Take personal responsibility for compliance with Health & Safety Regulations.
    • Take responsibility for personal development and ensure all mandatory training is completed on time.
    • Adhere to all General Data Protection Rules and policies (GDPR).
