Role Overview:

Kent is seeking a receptionist to provide essential support in our office environment. This role involves managing front desk operations and ensuring a welcoming atmosphere for visitors.

Key Responsibilities:

Reception Duties:
  • Welcome clients and guests, coordinating visitor parking as necessary.
  • Manage incoming phone calls, screening and directing them appropriately.
  • Provide accurate information in-person and through phone/email communication.
  • Uphold office security by adhering to safety protocols and monitoring access at the reception area.
  • Maintain a tidy and organized reception space, ensuring all necessary supplies are available.
  • Oversee the meeting room suite, ensuring readiness for scheduled meetings.
  • Arrange catering for meetings, including beverage and meal setup.
  • Handle daily mail and deliveries, sorting and distributing as needed.
  • Coordinate courier services when required.
  • Manage taxi bookings and maintain a log of transportation requests.
  • Order and distribute office supplies to staff.
  • Control stock levels of personal protective equipment (PPE).
  • Order catering supplies for the office, including beverages and snacks.
Administrative Support Duties:
  • Assist with the onboarding process for new employees, including IT setup and access arrangements.
  • Process new supplier requests.
  • Organize staff collections and cards.
  • Coordinate lunches and refreshments for meetings as needed.
  • Arrange travel and accommodation through the corporate travel service.
  • Update CVs to align with company standards.
  • Support new employee orientations.
  • Aid in the organization and archiving of office documents to maintain a clutter-free workspace.
  • Keep a record of staff parking allocations.
