We are looking for a highly organised and proactive Legal Operations Coordinator to support our legal team in a temporary capacity. This position is perfect for individuals who excel in a dynamic environment and possess strong organisational skills.

In this role, you will be essential in managing and executing administrative tasks to ensure that the organisation adheres to legislative and policy standards. You will collaborate with various departments to ensure compliance with industry regulations, assist in risk management initiatives, and foster best practices within our operations.

This position is office-based, and candidates should be readily available.

Key Responsibilities:

  • Oversee the preparation and management of legal documentation.
  • Assist the Head of Safety in coordinating health and safety events, projects, and materials, while managing health and safety data and generating routine reports.
  • Conduct policy reviews and compliance audits to ensure adherence to legal requirements and company policies.
  • Manage trademark activities and monitor trademark alerts to escalate any potential conflicts.
  • Gather customer due diligence information to assess covenant strength and debt risk profiles.
  • Process licensing changes and renewals in accordance with regulations, liaising with authorities and stakeholders as necessary.
  • Conduct licensing training sessions with pub managers to ensure compliance with the Premises Licence, drug awareness, and age verification policies.
  • Organise regular licensing workshops to meet the company's requirements for personal licence holders and manage premises licence variations related to pub developments.
  • Handle insurance claims and investigations, ensuring all relevant data and evidence are collected and submitted to insurers promptly.
  • Ensure timely updates and registrations at Companies House regarding company accounts, annual returns, shareholding, and other necessary activities.
  • Manage the company share and bond registers, as well as pension scheme documents and related activities.
  • Assist in preparing Board Packs.
  • Support the organisation of meetings and various events, taking accurate minutes during discussions.
  • Ensure that data entered into the company's shared information system is precise, current, and compliant with GDPR.
  • Coordinate the payment of invoices for services and goods managed by Legal Services and oversee daily external correspondence.

Experience Required:

  • Exceptional organisational and communication abilities, with a strong attention to detail.
  • Proficient in IT skills, including Excel, Word, PowerPoint, and Microsoft Teams.
  • Self-motivated and capable of working independently as well as collaboratively.
  • Strong organisational and prioritisation skills, with the ability to manage multiple tasks and meet deadlines.
  • Ability to analyse and interpret complex information related to governance and compliance.
