Role Overview: The primary objective of this Transport Operations Coordinator position is to assist the transport management team by delivering high-quality, cost-efficient administrative support in accordance with company standards and regulatory guidelines. This ensures that Whistl maintains its commitment to providing superior quality and value to its clientele.
Key Responsibilities:
- Serve as the initial point of contact within the transport office for clients, drivers, and various internal departments, efficiently addressing, redirecting, or escalating issues as necessary.
- Calculate, document, and report weekly driver hours for both core and agency personnel, as well as manage payroll and HR documentation.
- Update records related to driver hours, leave, and absences.
- Maintain tachograph analysis documentation and ensure compliance with legal requirements.
- Support the recruitment process for drivers and transport personnel in collaboration with the transport management team and approved recruitment agencies.
- Assist with daily routing and driver assessments as needed.
Compliance and Safety: Ensure adherence to all internal and external regulations, including the Mail Integrity Code of Practice, Safety, Health, and Environment regulations, Carriage of Dangerous Goods regulations, and Data Protection and Information Security regulations. Accurately document and report any incidents, accidents, or near misses.
Candidate Profile: We encourage applications from individuals with experience or skills in the following areas: customer service, data protection, health and safety, compliance, driving regulations, reporting, MS Office proficiency, Isotrak, and data analysis, particularly in roles such as Transport Clerk or Transport Administrator.

Additional Information: This role requires weekend coverage on Saturdays and Sundays from 8 am to 5 pm, with a flexible approach necessary to support the demands of a 24-hour operation.
Skills Required: Effective communication skills, both verbal and written, to engage with internal and external stakeholders at all levels. Ability to work independently and assess situations for appropriate escalation. A solid understanding of UK and EU driving regulations and working time directives is essential. Proficiency in MS Office, particularly Word, Excel, Outlook, and PowerPoint for data analysis, presentation, and reporting is required. A full driving license is necessary as travel to other sites or off-site meetings may be required.
