Your contributions will be vital in managing administrative tasks that ensure adherence to legal standards and company policies. You will collaborate with various departments to uphold compliance with industry regulations, assist in risk management initiatives, and foster best practices within our operations.

This role requires a presence in the office, and candidates should be readily available for immediate engagement.

Key Responsibilities:

  • Oversee the organization and archiving of legal documentation.
  • Assist the Head of Safety in coordinating health and safety events, managing projects, and maintaining supplies while providing regular reports on H&S data.
  • Facilitate policy evaluations and compliance checks to ensure alignment with legal requirements and corporate guidelines.
  • Manage trademark processes and monitor trademark alerts to escalate potential conflicts.
  • Gather customer due diligence data to evaluate financial stability and risk profiles.
  • Process licensing modifications and renewals in accordance with regulations, liaising with relevant authorities and stakeholders as needed.
  • Conduct licensing training sessions with management to ensure comprehension of the Premises Licence, drug awareness, and age verification protocols.
  • Organize regular licensing workshops to fulfill the company’s obligations for personal licence holders and manage variations related to pub developments.
  • Handle insurance claims and investigations, ensuring timely collection and submission of necessary information to insurers.
  • Ensure timely updates and registrations at Companies House for company accounts, annual filings, shareholding, and other required activities.
  • Manage the company’s share and bond registers, as well as pension scheme documentation and related activities.
  • Assist in preparing materials for Board meetings.
  • Support the coordination of meetings and various events, taking accurate minutes during discussions.
  • Ensure the accuracy and compliance of data entered into the company’s shared information system, adhering to GDPR standards.
  • Oversee the processing of invoices for services and goods managed by the Legal Services department and handle daily external correspondence.

Experience Required:

  • Exceptional organizational and communication abilities, with a strong attention to detail.
  • Proficient in IT applications including Excel, Word, PowerPoint, and Microsoft Teams.
  • Self-motivated and capable of working autonomously as well as collaboratively.
  • Strong prioritization and multitasking skills, with the ability to meet deadlines effectively.
  • Capability to analyze and interpret complex governance and compliance information.
