Position: Property Administration Specialist

Location: Battersea

Working Hours: 9 AM - 5:30 PM, Monday to Friday

Salary Range: £30,500 - £34,000

We are seeking a dedicated Property Administration Specialist to join our team at Abbatt Property Recruitment. The successful candidate will play a crucial role in supporting the Residential Lead and collaborating with the Residential Property Managers to ensure a high standard of service for our residents.

Key Responsibilities:
  • Provide comprehensive administrative assistance to the property management team.
  • Document meeting minutes accurately.
  • Handle incoming phone inquiries, redirecting or taking messages as necessary.
  • Respond promptly to resident inquiries via phone and email.
  • Prepare and distribute resident communications and newsletters.
  • Maintain a detailed logbook of contractors and site visitors.
  • Coordinate site visits for contractors and residents to facilitate access.
  • Follow up on logged maintenance requests and contractor reports.
  • Manage lease-related administrative tasks, including alterations and pet requests.
  • Monitor and address feedback on the Resident's App.
  • Assist in logging insurance claims and liaising with contractors under the guidance of property managers.
  • Support the Residential team in planning and executing resident events.
  • Contribute to the creation of marketing materials.
  • Log reactive maintenance inquiries and relay them to the Maintenance team.
  • Guide the concierge team, ensuring procedures are recorded to empower team members.
  • Co-manage the help desk email account.
  • Perform other ad hoc duties as required.
Qualifications and Skills:
  • A minimum of 1 year’s experience in a similar administrative support role within leasehold property.
  • Ability to thrive in a fast-paced, high-pressure environment.
  • Flexibility to adapt to an agile and constantly evolving workplace.
  • Strong attention to detail and proactive approach.
  • Excellent time management and prioritization skills.
  • Exceptional communication and customer service abilities.
  • Proficiency in Microsoft Office programs.
  • Strong organizational skills.
  • Ability to work independently and manage multiple tasks effectively.
