Account Management Specialist

The successful candidate will assist the Account Manager, who oversees the contractual and commercial relationship with clients, by coordinating compliance activities. This includes generating information from various internal and external sources and serving as a point of escalation for the Supply Chain. Additionally, the role will involve acting as a deputy to the Account Maintenance and Lifecycle Coordinator and addressing various requests to ensure seamless service delivery across the portfolio.

As an Account Management Specialist at Bellrock, your responsibilities will include:

  • Assisting the Account Manager in fulfilling all contractual obligations.
  • Building strong relationships with internal and external stakeholders and providing prompt responses to inquiries.
  • Coordinating compliance, planned preventive maintenance (PPM), and reactive activities by collaborating with the Planned Team and supply chain, while also supporting the Account Manager in achieving or exceeding KPI targets.
  • Reviewing and validating all PPM certifications to ensure compliance and liaising with the supply chain when discrepancies arise.
  • Managing and monitoring all reactive and planned remedial works to ensure completion within agreed service level agreements.
  • Generating weekly reports and leading client meetings focused on planned and reactive works, statutory compliance, and ongoing operational tasks.
  • Issuing non-conformance reports for suppliers failing to meet contractual requirements and collaborating with the Supply Chain Management Team to address issues.
  • Gathering and compiling necessary data for all reporting requirements, including addressing uncompleted activities.
  • Serving as the primary point of escalation for clients and suppliers as needed.
  • Coordinating and resolving issues efficiently through job and quotation follow-ups.
  • Ensuring that client complaints regarding service delivery are managed and escalated to the Account Manager promptly, with corrective actions implemented swiftly.
  • Assisting the Account Manager in monitoring overall contract performance by maintaining regular communication with key stakeholders.
  • Supporting the development and refinement of the Strategic Account Plan in collaboration with the broader Bellrock Team.
  • Coordinating activities across Bellrock departments to ensure the necessary data and management information is available for effective contract monitoring.
  • Collaborating with the reporting team to standardize reporting formats.
  • Monitoring and liaising with suppliers to ensure effective daily service delivery and escalating any performance issues to the Account Manager.
  • Coordinating Accounts Payable activities by working closely with the Accounts Payable team to minimize supplier debt and address client inquiries.

What You Need to Succeed

If you are prepared to be the driving force behind our business growth and share in our success as an Account Management Specialist, you will need:

  • Intermediate IT literacy, particularly in Excel for data manipulation.
  • IOSH Managing Safely certification.
  • Experience in a client-facing role.
  • Familiarity with supplier management and procurement processes.
  • Ability to manage multiple priorities effectively.
  • Experience in data management, analysis, and reporting.
  • Adherence to established processes and procedures.
  • Experience in a facilities management environment.
  • Facilities management qualification or working towards one is desirable.
  • Understanding of commercial contracts is advantageous.
  • A customer-focused mindset.
  • Strong organizational skills.

Work Environment
