Job Summary

CTS Offshore and Marine is seeking a highly organized and detail-oriented Operations Coordinator to join our team. As an Operations Coordinator, you will be responsible for providing administrative support to our operations team, ensuring the smooth execution of projects and maintaining accurate records.

Key Responsibilities

  • Coordinate the creation of new projects, quotes, invoices, and purchase orders in our CRM system.
  • Prepare and send out quotations to clients, ensuring timely and accurate communication.
  • Issue and chase sales invoices, maintaining accurate records and ensuring timely payment.
  • Liaise with manning agents and freelancers to secure required manpower for projects.
  • Arrange international and domestic travel, hotels, visas, and other logistical arrangements as needed.
  • Liaise with port agents to facilitate the transfer of personnel and goods to/from vessels/rigs.
  • Coordinate the purchase/rent of equipment, tools, and consumables for projects, ensuring timely delivery and accurate documentation.
  • Monitor and track multiple overseas engineering and consultancy projects simultaneously.
  • Maintain accurate project records, ensuring compliance with ISO 9001, 14001, 29001, and 45001 standards.
  • Monitor costs and ensure all expenses are within budget.
  • Verify personnel certificates and training records to ensure compliance with company standards.
  • Maintain office and stationary supplies, as well as petty cash expenses.
  • Review personnel expenses and ensure accurate record-keeping.

Requirements

  • Degree holder (not necessary but preferred).
  • Minimum 2 years of experience in administrative or operations roles, preferably in a marine/offshore/marine oil and gas, construction, or similar background.
  • Excellent multitasking, organization, and time management skills.
  • Strong team player with excellent communication skills.
