Position Overview

The role of the Estates Operations Manager is crucial in ensuring the smooth functioning of our facilities. The key responsibilities include:

  • Coordinating the scheduling, modification, or cancellation of appointments for patients in accordance with clinic protocols and any additional directives from the relevant specialty.
  • Being attentive to patient preferences regarding appointment dates and times whenever feasible.
  • Utilizing relevant databases such as DoS Matrix for indirectly bookable referrals, Clinic Rules, and the PCC Directory to ensure compliance with scheduling guidelines from each service. This includes adhering to communications from PCC Managers that provide further instructions affecting appointment management.
  • Updating patient demographic information in the Electronic Patient Record (EPR) to maintain high data quality standards.
  • Employing the e-Referral System (eRS) to identify patient referrals from GP Practices, verify patient demographics, and manage the Indirectly Bookable Breach List as necessary.
  • Addressing patient inquiries with empathy and efficiency, ensuring comprehensive explanations and responses are provided. This role demands a high level of concentration and understanding due to the nature of some inquiries.
  • Collaborating closely with clinical and administrative personnel across various departments to ensure accurate information dissemination.
  • Assisting in the training and onboarding of new team members.
  • Providing administrative support to other departments within the organization as needed.
