Position Overview

We are seeking a motivated individual to take on the role of Supervisor within the Urology department.

This position will assist the Service Managers in overseeing the daily operations of waiting list administrative personnel, conducting performance reviews, and delivering training as required. The Supervisor will coordinate the team's responsibilities, making necessary adjustments and reallocating tasks among team members to ensure seamless service delivery.

The ideal candidate will possess a solid background in administrative functions within the healthcare sector, with familiarity in systems such as HISS, Track It, ERS, among others.

Key Responsibilities

  • Collaborate with the Service Manager to develop staff schedules that guarantee uninterrupted service, considering necessary leave coverage.
  • Assist the Service Manager in the recruitment and selection process.
  • Support the Service Manager in organizing the scheduling of all surgical lists, ensuring that the correct procedures are followed and clinics are fully utilized.
  • Maintain high standards for theatre preparation and appointment processes in accordance with Trust and departmental guidelines.
  • Contribute to the management of the 18-week and Cancer patient pathways by identifying bottlenecks and areas for improvement, facilitating timely patient appointments when feasible.
  • Ensure that follow-up actions are completed for patients on a Cancer pathway, guaranteeing that they are seen within local and national access standards, and arrange outpatient appointments or procedures as necessary.
  • Provide a professional, accurate, and courteous telephone inquiry service to healthcare and social service professionals.
  • Conduct delegated performance reviews, monitor and record absences and leave on the appropriate local or Trust systems.
  • Assist the Administration Manager and Service Manager with inquiries and complaints management.
  • Oversee the ordering of office supplies through the computerized ordering system and ensure proper receipt.
  • Facilitate effective communication and information sharing within the team by participating in regular meetings.
  • Work alongside the Administration Manager and Service Manager to monitor performance in alignment with inpatient and day case performance objectives.

Candidate Profile

Experience

Essential

  • Demonstrated understanding of RTT and Cancer targets.
  • Experience with hospital IT systems such as HISS, Track-It, ERS.
  • Proficient general IT skills, including word processing and spreadsheet capabilities.

  • Experience in supervising staff.
