About the Role

We are seeking a highly skilled and experienced Executive Assistant to provide seamless administrative support to our Managing Director. As a key member of our team, you will be responsible for managing the MD's diary, inbox, and travel arrangements, as well as coordinating internal and external meetings and events.

Key Responsibilities
  • Diary Management: Proactively manage the MD's diary, ensuring seamless scheduling of internal and external meetings across multiple time zones.
  • Email and Inbox Management: Effectively manage the MD's email and inbox, responding to messages and escalating issues as necessary.
  • Travel Arrangements: Coordinate domestic and international travel arrangements, including itinerary planning, booking transport and accommodation, and securing visas and other travel documentation.
  • Meeting Coordination: Schedule a range of internal and external meetings and events, often with multiple global participants, requiring regular liaison with internal and external counterparts to coordinate availability.
  • Minute Taking: Take accurate and detailed minutes at meetings, managing actions and notes as required.
  • Document Preparation: Prepare Word, Excel, and PowerPoint presentations, meeting agendas, monthly, quarterly, or annual reports, projects, and other documents.
  • Event Support: Assist in preparing and managing presentations and events, ensuring seamless execution.
  • Expense Management: Complete expenses in accordance with specified time scales and company formats.
  • Confidentiality and Discretion: Use discretion, confidentiality, and good judgment to handle C-Level matters.

Requirements

To be successful in this role, you will need to have:

  • Previous experience as an Executive Assistant to a C-Suite executive.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong communication and interpersonal skills, with the ability to build and maintain positive relationships with internal and external stakeholders.
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
  • Ability to work in a fast-paced environment, with a high level of discretion and confidentiality.
