About the Role

We are seeking a highly organized and detail-oriented individual to join our team as an Outpatient Administrator at Oxford University Hospitals NHS Foundation Trust. This is an exciting opportunity to work in a dynamic and supportive environment, providing exceptional patient care and administrative support to our clinical teams.

Key Responsibilities
  • Coordinate patient appointments and procedures, ensuring seamless communication with patients, healthcare staff, and other stakeholders.
  • Liaise with multidisciplinary teams to prioritize clinical procedures and book appointments efficiently.
  • Use clinical knowledge and booking systems to resolve appointment conflicts and minimize patient journeys.
  • Provide excellent customer service, maintaining high levels of professionalism and compassion in all interactions.
  • Enter relevant patient information into clinical database systems and other PC-based systems.
  • Sort and manage incoming post, taking appropriate action as required.
  • Monitor and maintain national and local waiting-time standards, working closely with clinical staff to prevent breaches.
  • Use EPR functions to locate and list patient appointment arrangements.
  • Arrange patient transport and translators as needed, in line with Trust protocols.
  • Contribute to the development and implementation of local policies and operating procedures.
Person Specification

We are looking for an individual with:

  • Good basic educational background (6 GCSEs grade C or above or equivalent)
  • Up-to-date experience of MS Windows, MS Office, Excel, PowerPoint, and Access (or equivalent)
  • Ability to prioritize tasks and work independently as part of a team
  • Flexible approach to team work and working hours
  • Reliable and organized communication skills
  • Paying attention to detail and ability to work to deadlines
Desirable Qualifications and Experience

  • IT qualifications (ECDL) or working towards Database/spreadsheet skills
  • Medical terminology knowledge
