Position Overview:

The primary responsibility of this role is to oversee the administrative aspects of front-end projects, including the organization and management of survey tracking, scheduling of surveys with various surveyors, and maintaining communication with clients and/or managing agents. It is essential to ensure that all necessary documentation is collected and disseminated to facilitate the smooth execution of surveys. Additionally, the role involves monitoring the return of surveys and design packs to ensure compliance with required service level agreements (SLAs) and managing the FTTH administration for the production of job packs to meet these SLAs. Timely handling of any required amendments is also a key aspect of this position.

Key Responsibilities:

  • Manage high-volume internal and external relationships effectively.
  • Exhibit exceptional communication skills, both verbal and written, particularly when engaging with remote contacts, while demonstrating the ability to negotiate and influence outcomes.
  • Utilize advanced IT skills, including proficiency in Excel, Outlook, Word, Visio, and database management.
  • Maintain strong organizational skills and effective document management practices.
  • Ensure the quality of surveys and design packs, which includes updating the company database and client portals.
  • Proactively follow up with surveyors to keep records current and facilitate effective communication between field teams and office staff.
  • Foster and maintain strong working relationships with the FTTH department and surveying teams to enhance performance output.
  • Build and sustain excellent relationships with clients to optimize performance results.
  • Track, respond to, and resolve all queries and inquiries from internal and external stakeholders in a timely manner.
  • Provide regular reporting to clients and the FTTH Delivery Manager.
  • Communicate clearly and effectively across all levels.
  • Identify and suggest improvements to processes and organizational workflows.
  • Serve as a knowledgeable point of contact for management and team members, offering guidance and support as needed.
  • Assist colleagues during peak workload periods or to cover for absences.
  • Collaborate effectively with team members, including Response and Resolution Teams and field staff, to deliver exceptional service as a cohesive unit.
