Position Overview

As a Tender and Quotation Coordinator, you will play a vital role in supporting the bid and tender management functions within our organization. Your responsibilities will include both independent work and collaboration with team members to thoroughly research and comprehend specific pre-qualification and tender requirements. This ensures that all submissions are accurate, compliant, and submitted within the required timelines. You will serve as the primary contact for all quote-related inquiries from both internal and external stakeholders.

Key Responsibilities:


• Analyze all tender advertisements for potential new business opportunities and communicate relevant adverts to the account manager for submission consideration.

• Ensure the timely coordination of high-quality tender submissions, which includes:
 - Downloading and uploading tender documents through procurement platforms
 - Managing the approval workflow prior to tender submission
 - Collaborating with Commercial teams to align with overall tender objectives

• Prepare and finalize Pre-Qualification Questionnaires (PQQ), Project Feasibility Questionnaires (PFQ), and necessary technical/compliance documentation to accompany tender bids and responses to expressions of interest.

• Work closely with colleagues to gather essential data and project information.

• Maintain an organized library of frequently utilized documents and standard responses.

• Process reagent rental agreements using SAP.

• Oversee the preparation of quotes in line with customer requests, ensuring all information is accurate.

• Manage the approval flow of outstanding quotes to prevent delays, ensuring customers receive their quotes promptly and to a high standard, while adhering to compliance processes and pricing policies.

• Assist in the development of new documentation and templates as necessary.

Qualifications:

• Previous experience in a similar role within the industry is preferred.

• Multi-lingual capabilities:

• Proficiency in English and Dutch is essential.

• Knowledge of French is advantageous.

• Familiarity with the life sciences and clinical diagnostics sectors is desirable.

• Strong communication and interpersonal skills are required, along with excellent written communication abilities.

• Ability to work effectively with cross-functional teams and individuals at various levels within a matrix organization.

• Proficient computer skills and presentation capabilities are necessary.
Experience with SFDC and SAP is a plus.
