Key Responsibilities:

  • Understand and embody the core values and principles of the company, ensuring they are reflected throughout the organization.
  • Oversee the service administration for various service agreements.
  • Handle urgent service requests by assigning the appropriate technician and creating relevant job orders.
  • Prepare preliminary quotes for necessary repair work.
  • Manage the on-call schedule and oversee the weekly transfer of communication devices.
  • Ensure timely receipt of reports, adhering to established deadlines.
  • Maintain, process, and archive internal documents and reports in accordance with company policy.
  • Keep accurate service records and logs, including RAMS, SLA contracts, and procurement documents.
  • Coordinate service engineers' schedules and distribute work orders/job cards effectively.
  • Ensure that timesheets are current for real-time job tracking.
  • Collaborate with administrative teams to ensure smooth information flow.
  • Utilize company software for raising purchase orders and confirming receipt of goods.
  • Manage incoming deliveries and inform the service contracts manager.
  • Communicate with engineers to ensure they have the necessary materials for repairs.
  • Establish new supplier and client accounts as needed.
  • Organize site meetings as required.
  • Act as the administrative point of contact for the service team, addressing inquiries via phone or written communication and directing them to colleagues when necessary.
  • Assist in managing the service budget by accurately tracking engineers' workloads.
  • Address miscellaneous queries and tasks as needed.
  • Provide support for other administrative duties to ensure the office operates smoothly.
