About the Role:
We are seeking a dedicated and proactive Senior Administrative Coordinator to provide essential support to the Managing Director (MD). Your responsibilities will include:
  • Acting as the MD's primary support, representing the organization to Board Members, Executives, external partners, and stakeholders.
  • Assisting the Executive Team with Governance matters and providing necessary support to the Board and Committees.
  • Collaborating closely with the MD to maintain high standards of Regulatory Grading, financial sustainability, and governance.
  • Ensuring the confidentiality and accuracy of sensitive Executive data in compliance with Data Protection legislation.
  • Preparing presentations and conducting research to gather key management information for the MD and Executive Team.
  • Supporting the MD in managing national groups and providing specialized advice.
  • Assisting the Head of Governance, Risk, and Assurance with Board and Committee-related tasks.
  • Overseeing the MD's budget, including processing purchase orders, invoices, and expense reconciliations.
  • Documenting minutes and action items from meetings and creating action trackers.
  • Coordinating various meetings, including preparation, agenda setting, and timely access to relevant documents.
  • Managing the MD's calendar, ensuring efficient scheduling and travel arrangements.
  • Handling gifts and hospitality arrangements, ensuring compliance with organizational guidelines.
  • Maintaining the operational efficiency of office systems utilized by the Executive Team.
  • Managing administrative tasks for the MD, including expense reporting.
  • Promoting the health and safety of all colleagues.

Essential Experience:
To be successful in this role, you should possess:
  • Experience in a similar Executive Assistant or Personal Assistant position.
  • A solid educational background, including GCSE/A Level qualifications with a pass in English and Maths.
  • Excellent communication skills, prioritizing customer satisfaction.
  • A proactive approach to working collaboratively across various teams.
  • A commitment to continuous improvement and personal development.
  • A strong sense of accountability and decision-making capability.
  • Familiarity with new technologies and data solutions.
  • Experience in diary management, minute-taking, report writing, and presentations in a dynamic environment.
  • The confidence to engage with Partners at all levels, including CEOs and Directors.
