Executive Support Specialist

Job Summary
The Director of Administrative Operations is responsible for overseeing the day-to-day administrative processes and providing executive-level support to the Director of Athletics and senior-level staff members. This position requires strong organizational and communication skills, as well as the ability to work independently and as part of a team.
Key Responsibilities
- Coordinate administrative processes and provide support to the Director of Athletics and senior-level staff members
- Develop and implement office standards and procedures
- Screen and direct phone calls and visitors
- Maintain the Director of Athletics' calendar and schedule meetings
- Prepare and process payroll forms, onboarding paperwork, and other documents
- Assist with game day operations and special events
- Supervise and train work-study students as needed
- Provide backup support to other administrative staff members
Requirements
- Bachelor's degree
- At least three years of related experience in administrative operations
- Strong time management, organizational, and attention to detail skills
- Ability to take initiative and plan, organize, and coordinate work in various situations
- Proficient in Google and MS Office, including Excel
- Experience with virtual meeting platforms such as Zoom and Microsoft Teams
- Excellent oral and written communication skills
Preferred Qualifications
- Minimum three years' experience working in a Division I college athletics department or conference office
- Experience with managing or hosting athletic/special events
