FACILITIES ADMINISTRATOR

Dovetail HRS is seeking a skilled Administrator to provide essential support for our operational activities. This role is crucial in ensuring the smooth functioning of our facilities management.

You will thrive in a dynamic environment, demonstrating exceptional organizational skills and the ability to manage multiple tasks efficiently.

Your responsibilities will include delivering high-quality administrative assistance to the Facilities Manager, Team Leaders, and technical staff by optimizing administrative processes, generating and tracking reports, and preparing correspondence and documentation to a professional standard.

Foster strong relationships with clients, subcontractors, and team members to guarantee prompt responses and outstanding service.
The Role

  • Handle incoming communications from clients and document requests
  • Collaborate with suppliers and users to facilitate the maintenance and service processes for equipment
  • Coordinate logistics, documentation, and courier services for off-site interventions, which may involve some physical handling
  • Request, obtain, and verify quotes for both contract renewals and new services in collaboration with technical teams
  • Generate purchase orders for both renewal and new contracts, and prepare delivery documentation as services are rendered
  • Manage external contracts and oversee service reports within our computerized management system
  • Create purchase orders for necessary parts, goods, and services
  • Review site data, identify issues, and coordinate resolutions
  • Surpass contract performance indicators to ensure client satisfaction
  • Maintain inventory of spare parts as required
  • Engage with third-party suppliers for quotes on parts and contracts
  • Participate in client meetings as necessary
  • Enhance productivity and minimize operational costs
  • Attend training sessions at various locations as needed
The Person

  • Proven administrative experience is required
  • Experience working with technical teams is advantageous
  • Proficient in MS Office applications, including PowerPoint, Access, and Excel
  • Strong communication abilities
  • Capable of managing significant workloads and prioritizing effectively
  • Excellent organizational capabilities
