As a Patient Flow Coordinator, you will play a crucial role in the Bed Management team, receiving continuous support from colleagues and management, along with opportunities for individual supervision and participation in reflective practice groups.

Key Responsibilities

Your primary responsibilities will include:

  • Maintaining real-time accuracy of all bed statuses and ensuring the Patient Dashboard is current, while providing training for staff on its use and upkeep.
  • Identifying and flagging all confirmed and potential discharges.
  • Collaborating with senior administrators and Patient Flow managers to establish current priorities.
  • Delivering reliable and consistent updates on the trust bed status to the Patient Flow Team.
  • Monitoring bed flow and ensuring timely and precise documentation of bed availability.
  • Providing up-to-date information for surge, conference, and bed escalation meetings.
  • Coordinating with other hospitals to facilitate timely patient transfers and repatriations.
  • Ensuring patient information is secure, confidential, and accessible while working flexible hours.
  • Covering for the Patient Flow Senior Administrator during absences or to assist with workload management.
  • Distributing overnight messages appropriately.
  • Prioritizing and managing incoming calls and inquiries effectively.
  • Performing word processing and audio support for necessary reports, letters, and summaries within established standards.
  • Utilizing RIO (electronic system) for recording and retrieving information on service users and caseload holders.
  • Implementing and maintaining efficient electronic filing systems to ensure the confidentiality and accessibility of service user records.
  • Responding to inquiries and processing referrals for inpatient beds, ensuring all relevant information is accurately gathered and recorded.
  • Establishing effective communication systems with team members, crisis teams, and community staff across the trust and external agencies.
  • Managing Data Protection inquiries, ensuring timely provision of necessary information to service users and clinicians.
  • Performing administrative duties, including maintaining up-to-date notes on decisions made in Patient Flow meetings and tracking Patient Flow activities.
  • Taking minutes during meetings.

Qualifications

Essential

  • NVQ level 3 or equivalent experience.
  • A minimum of 2 years of experience in secretarial or similar roles.

Desirable

  • Experience in a Mental Health setting.
  • Experience within the NHS or a similar large organization.

Knowledge and Skills

Essential

  • Proficiency in computer applications, particularly Microsoft Word, Excel, and PowerPoint.
  • Ability to maintain and implement efficient administrative and filing systems.

Desirable

  • Excellent communication skills.
