Main Responsibilities

The selected candidate will be responsible for managing the schedules of Consultants and junior medical staff, composing outpatient appointment letters and other correspondence for GPs and clinical professionals, addressing inquiries from clinicians, GPs, other healthcare facilities, patients, and their families, as well as updating medical records and entering data to support the achievement of departmental objectives. Additionally, the role includes assisting the Directorate Management Team in tracking and validating patient pathways to meet national healthcare targets.

Key Responsibilities:

Role Purpose:

To deliver comprehensive administrative and audio typing support for Consultant Staff and their junior teams, facilitating the achievement of Trust and departmental goals through effective collaboration with relevant stakeholders.

Key Relationships:

Internal: Senior & Support Medical Secretaries, Management, Consultants, junior staff, nursing teams, and other healthcare professionals.

External: GP practices, other hospitals, patients, and their families.

Key Duties:

  • Perform medical audio and copy typing tasks, including outpatient letters to GPs, discharge summaries, and other official communications.
  • Handle inquiries from clinicians, GPs, healthcare services, and other stakeholders, ensuring patient contact via telephone is managed professionally.
  • Work independently with minimal supervision, prioritizing tasks in alignment with departmental objectives.
  • Efficiently manage all incoming correspondence, phone calls, and emails.
  • Collaborate with other members of the administrative team to provide a coordinated and effective secretarial service.
  • Assist the Directorate Management Team with the administration, tracking, and validation of patient pathways to meet national healthcare targets.
  • Engage with patients, families, and staff with sensitivity and professionalism.
  • Address any complaints or issues with care, escalating to appropriate personnel as necessary.
  • Maintain confidentiality at all times, adhering to the Data Protection Act, Information Governance, and Trust/Departmental Policies.
  • Provide cover for other secretaries within the Medical Directorate to ensure service continuity.
  • Undertake additional duties as required by the Directorate Management Team.

Qualifications and Experience:

Essential:

  • GCSE English & Maths
  • Recognized word processing/typing qualification
  • AMSPAR certification

Desirable:

  • Experience within the NHS
  • Familiarity with OASIS PAS system, Bluespier EZ notes, and Digital Dictation

Skills and Knowledge:

Essential:

  • Proficient in audio typing using Digital Dictation
  • Comprehensive knowledge of Microsoft Office applications

Desirable:

  • Understanding of NHS systems
