Key Responsibilities:

  • Facilities Management: Schedule and oversee maintenance tasks with contractors, ensuring all necessary documentation is accurately completed and maintained.
  • Supplier Oversight: Manage supplier documentation to ensure compliance with company policies.
  • Reporting Assistance: Support the preparation of reports related to environmental, health & safety, and other relevant areas.
  • Utility Management: Conduct monthly readings of utility meters.
  • Onboarding Administration: Handle administrative duties for new employee onboarding.
  • Health & Safety Support: Assist with health & safety administration tasks, including Safety Data Sheets (SDS) and Control of Substances Hazardous to Health (COSHH).
  • Internal Auditing: Perform supplier evaluations as per the established schedule.
  • Travel Coordination: Arrange travel logistics for employees and clients as needed.
  • Training Administration: Manage customer arrangements for training sessions, including accommodations and transportation.
  • Supplier Questionnaire Assistance: Help complete necessary supplier questionnaires.
  • Document Management: Collaborate with the BMS Team to update and maintain controlled documents.
  • BMS Support: Work alongside the BMS Team to uphold and manage the organization’s Business Management System.
  • Reception Duties: Welcome visitors, manage phone communications, and handle mail-related tasks.

Essential Skills and Qualifications:

  • At least two years of experience in an administrative role.
  • Exceptional attention to detail and accuracy.
  • Strong organizational capabilities.
  • Proficiency in Microsoft Office Suite.

Desirable Qualifications:

  • Internal Auditing Certification.
  • Experience in Quality Management.
  • Health & Safety qualifications (e.g., IOSH).
  • Familiarity with GDPR regulations.
