We are seeking a BMS Coordinator to join our team, bringing expertise in front desk management, facilities oversight, and health & safety compliance. This role is crucial for ensuring seamless operations within our organization.
Key Responsibilities:
- Facilities Management: Schedule and oversee maintenance tasks with contractors, ensuring all necessary documentation is accurately completed and maintained.
- Supplier Oversight: Manage supplier documentation to ensure compliance with company policies.
- Reporting Assistance: Support the preparation of reports related to environmental, health & safety, and other relevant areas.
- Utility Management: Conduct monthly readings of utility meters.
- Onboarding Administration: Handle administrative duties for new employee onboarding.
- Health & Safety Support: Assist with health & safety administration tasks, including Safety Data Sheets (SDS) and Control of Substances Hazardous to Health (COSHH).
- Internal Auditing: Perform supplier evaluations as per the established schedule.
- Travel Coordination: Arrange travel logistics for employees and clients as needed.
- Training Administration: Manage customer arrangements for training sessions, including accommodations and transportation.
- Supplier Questionnaire Assistance: Help complete necessary supplier questionnaires.
- Document Management: Collaborate with the BMS Team to update and maintain controlled documents.
- BMS Support: Work alongside the BMS Team to uphold and manage the organization’s Business Management System.
- Reception Duties: Welcome visitors, manage phone communications, and handle mail-related tasks.
Essential Skills and Qualifications:
- At least two years of experience in an administrative role.
- Exceptional attention to detail and accuracy.
- Strong organizational capabilities.
- Proficiency in Microsoft Office Suite.
Desirable Qualifications:
- Internal Auditing Certification.
- Experience in Quality Management.
- Health & Safety qualifications (e.g., IOSH).
- Familiarity with GDPR regulations.
