Core Responsibilities

As the Financial Operations Manager, your duties will include:

  • Collaborating with various departments to manage the daily operations of financial systems and processes.
  • Establishing strong relationships with internal personnel, suppliers, subcontractors, and clients.
  • Supervising the complete financial cycle, delivering essential financial data to support tendering, account setups, purchase order monitoring, invoicing, and payments.
  • Reporting directly to the CFO, receiving strategic direction and assistance from external accountants.
  • Overseeing daily financial functions and identifying the need for additional resources as the organization expands, including training and managing a finance team.

Management Reporting

  • Coordinating with internal teams to set invoice expectations for clients and subcontractors.
  • Ensuring all invoices and payments are reconciled daily on Xero for real-time reporting to the CFO.
  • Analyzing current expenditures and providing vital information for budget formulation.
  • Generating cost reports for research and development claims.
  • Monitoring client accounts to ensure invoicing aligns with issued purchase order numbers.
  • Assisting the CFO with financial presentations during monthly board meetings.
  • Providing ad-hoc financial reports for tendering purposes.

Payroll Management

  • Processing monthly payroll for 30 permanent, salaried employees, including HMRC and PAYE submissions and reporting.
  • Issuing payslips and addressing payroll inquiries.
  • Calculating and distributing P11Ds, P60s, and P45s along with relevant HMRC submissions.
  • Administering sick pay and approving expense claims in accordance with the company’s expense policy.

Sales Ledger Management

  • Ensuring accurate client setup and maintaining up-to-date information.
  • Requesting purchase order numbers for new orders, tracking them internally, and resolving any issues.
  • Preparing and dispatching monthly invoices.

Credit Control

  • Reconciling client payments on Xero and sending payment reminders.
  • Resolving invoicing discrepancies and escalating unresolved issues.

Purchase Ledger Management

  • Ensuring accurate supplier setup and completing necessary documentation.
  • Verifying supplier invoices for VAT compliance and addressing discrepancies.
  • Posting invoices to Xero and ensuring correct account application.

VAT Management

  • Preparing quarterly VAT returns for external accountant approval.

Accounts Coordination

  • Collaborating with external accountants to provide necessary information for statutory accounts preparation.
