Customer Service and Administrator Role

Key Responsibilities:
  • Reception Duties:
    • Provide a warm welcome to customers and visitors, ensuring a positive first impression.
    • Manage the reception area, maintaining a clean, organized, and welcoming environment.
    • Answer and direct phone calls and emails to the appropriate departments, ensuring prompt and efficient communication.
  • Customer Interaction:
    • Deliver exceptional customer service at the trade desk, addressing customer inquiries and providing expert advice on our products and services.
    • Handle customer complaints or issues professionally, escalating to management when necessary.
  • Order Management:
    • Process customer orders accurately and efficiently, ensuring timely completion and delivery.
    • Produce and issue invoices for completed orders, maintaining accurate records.
  • Supplier Coordination:
    • Order necessary parts and accessories from suppliers, ensuring stock levels are maintained.
    • Track and manage deliveries from suppliers, updating inventory as needed.
  • Booking and Scheduling:
    • Schedule and confirm customer appointments for services, ensuring accurate entry of booking details into the system.
    • Coordinate with workshop staff to optimize scheduling, ensuring efficient use of resources.
  • Administration:
    • Maintain accurate and up-to-date records of customer interactions, sales, and bookings.
    • Prepare daily, weekly, and monthly reports as required by management, providing valuable insights and analysis.
  • Sales Support:
    • Assist the team with processing enquiries and providing quotes, supporting sales efforts.
    • Contribute to organizing promotional events or customer appreciation initiatives, enhancing customer engagement.
  • Quality Control:
    • Ensure that all customer interactions and transactions meet our company's standards of quality and customer care.
    • Participate in continuous improvement initiatives, enhancing customer service processes and driving excellence.
Requirements:
  • Experience:
    • Previous experience in a customer service or administrative role, with a proven track record of delivering exceptional results.
    • Experience in handling reception duties and managing customer interactions, with a strong focus on customer satisfaction.
  • Skills:
    • Strong communication and interpersonal skills, with the ability to build rapport with customers and colleagues.
