About the Job

The Ministry of Defence is seeking a highly organised and motivated professional to join the Army Headquarters as an Executive Assistant. This role provides direct support to Directors and is an excellent opportunity to develop your skills and experience in a dynamic and innovative working environment.

Job Summary

The successful candidate will provide effective and efficient administrative support, working as an integral part of the outer office support team. The ideal candidate will have experience in a similar role, in a professional service environment, and have the ability to work proactively and as part of a team.

Main Responsibilities
  • Effective day-to-day diary management, including allowing for transition between locations, IT communication setup, and preparation time.
  • Forward planning, including arranging visits, meetings, briefings, and engagements, and confidently liaising with colleagues and senior stakeholders.
  • Travel management, including researching, analysing, and making complex travel arrangements in line with MOD Policy.
  • Hospitality management, including maintaining an electronic register of hospitality, both given and received, in accordance with MOD Policy.
  • Meeting support, including collating and organising briefing information packs for meetings, boards, or conferences as required.
  • Records management, including maintaining effective electronic housekeeping and records management/retrieval processes.
  • Ad-hoc administrative tasks to support outer office staff, acting as a professional representative of the principal at all times.

  • A rational and clear thinker, who can work well during periods of change.
  • Self-motivated and highly organised, with the ability to forecast and work well within a small team.
  • Strong interpersonal skills, with the ability to converse effectively with a range of stakeholders at all levels.
  • Sound judgement, with the ability to work quickly and concisely to meet demanding priorities.
  • The ability to maintain a high level of confidentiality at all times, ensuring all information received by the principal is managed and stored appropriately.
Essential Criteria
  • A sound understanding of Microsoft Office packages (or similar).
  • Previous experience in a PA or EA position.
Desirable
  • Experience of delivering outputs at pace in a lively environment and strong written and verbal briefing skills.
