Position Overview
We are seeking a dedicated Reception and Administrative Support Officer to join our team on a Bank contract at Band 3 level. This role is crucial in providing a professional and efficient reception and administrative service to our child and adolescent mental health team.
The successful candidate will be responsible for creating a welcoming atmosphere for young individuals and their families upon their arrival at the clinic. This includes managing incoming calls, addressing various inquiries, and handling appointment communications, including formatting and dispatching appointment letters and reminders.
Given the nature of the role, the individual must exhibit a high level of tact, mature judgment, and maintain a calm, friendly demeanor while interacting with service users over the phone.
Key Responsibilities
- Greet young clients and their guardians as they arrive at the clinic.
- Utilize Word templates to generate clinic correspondence, including appointment notifications and maintaining accurate records in the electronic patient management system.
- Employ touch typing, audio transcription, and shorthand skills to ensure timely completion of tasks.
- Send appointment reminders via text message to clients who have opted in for this service.
- Demonstrate proficiency in using electronic patient records for administrative functions.
- Assist fellow team members with additional administrative duties as required, such as scanning, photocopying, and preparing new service user assessment materials.
- Commit to ongoing professional development and mandatory training.
- Work independently, prioritizing tasks effectively and exercising initiative in distinguishing between routine and urgent matters.
- Adhere to established guidelines and leverage developed skills when managing responsibilities autonomously.
