Administrative Support Officer

Job Summary
We are seeking a highly organized and efficient individual to provide administrative support to our Child and Young People Mental Health Services team in East Hertfordshire. The successful candidate will have experience working in an office environment and excellent communication skills to interact with service users, families, and clinical colleagues.
Main Responsibilities
- Provide a comprehensive administrative service to the team, including manning reception, welcoming service users, and ensuring the smooth running of the waiting room.
- Answer general telephone enquiries, take messages, and send out appointment letters and reminders.
- Manage the duty email inbox and work independently with a high degree of confidentiality.
- Use Word templates to process clinic letters, produce appointment letters, and enter appointments in the electronic patient record.
- Use touch typing, audio, and shorthand skills as necessary to produce work in a timely manner.

Person Specification
- NVQ 3 or equivalent qualification.
- Advanced keyboard skills and good working knowledge of email and internet.
- Proficient knowledge of PARIS and good standard of English.
- Numerate and experienced at intermediate level in a range of software packages, including Word, Excel, and PowerPoint.
Essential Skills
- Ability to organize and plan complex events, such as training sessions and therapy groups.
- Proficient in diary management, coordinating appointments to ensure best use of managers' time.
- Experience of transcribing formal minutes of meetings and supervising and training others.
- Independent and team working skills, with the ability to adapt to change and manage work in a changing environment.
