About the Role

We are seeking a highly skilled and experienced Contractual HR Specialist to join our team at Apex Systems. As a key member of our European Human Resources department, you will play a critical role in supporting the European Human Resources Director in managing our global contractual obligations.

Key Responsibilities
  • Facilitate and coordinate all processes associated with European contracts of employment, including ownership, management, and facilitation.
  • Define, source, and seek authorization for resolutions as needed.
  • Maintain the essential fundamentals of each contract, ensuring accuracy and compliance.
  • Update and own process documentation, ensuring seamless communication with managers and employees.
  • Coordinate and communicate with internal stakeholders, including managers and employees, to ensure smooth contract execution.
  • Administer contract execution to ensure compliance with regulatory guidelines, including GDPR and employment law.
  • Study the requirements, duties, and obligations of the company under contracts to ensure alignment with company goals and industry regulations.
  • Implement all contracts end-to-end in a timely manner, maintaining and updating contractual records.
Additional Responsibilities
  • Facilitate and coordinate associated processes for new starters and leavers, including data collection, organization, and secure storage.
  • Monitor probation periods, immigration visa end dates, and internal training requirements.
  • Provide administrative support to employees, including field queries and health and safety requirements.
  • Coordinate office activities, including occasional event coordination and data input for contract HR purposes.
  • Occasional travel within the UK and Europe may be required.

  • Strong relationship-building skills, with the ability to influence and communicate effectively with internal stakeholders.
  • Analysis and problem-solving skills, with the ability to think critically and make informed decisions.
  • Experience working with in-house systems and process knowledge, with the ability to develop strong partnerships with leaders, managers, and colleagues.
  • Strong attention to detail and accuracy, with the ability to work in a fast-paced environment and meet tight deadlines.
  • Confident and assertive communication skills, with the ability to communicate effectively with internal teams, external suppliers, and other stakeholders.
  • Good negotiation skills, with the ability to resolve conflicts and negotiate agreements.
  • Proactive problem-solving skills, with the ability to think creatively and develop innovative solutions.
  • Ability to deal with suppliers, including agencies and third-party suppliers, and other businesses, senior managers, and internal customers.
  • Must be organized, accurate, and able to pay close attention to detail.
  • Must be able to understand priorities and organize workload accordingly.
  • Able to multitask and work in a fast-moving environment.
  • Good personal timekeeping and able to work to tight deadlines when required.
  • Understands when to escalate issues and is comfortable using computers.
  • Proficient user of Microsoft Word, Excel, Email, and PowerPoint.
  • Able to travel on an occasional basis and have a licensed driver with access to a vehicle (preferred).
Desirable Experience
  • Experience working in a HR or People-based role, with a recognized qualification in HR.
  • Experience working closely with multiple internal stakeholders to meet challenging deadlines.
  • Experience working in a digital/tech sector, beneficial.
  • A good solid background in contractual delivery.
  • Ability to speak other European languages, beneficial.
