We are seeking a dedicated Part-time Administrative Coordinator to join our supportive team at Faversham Medical Practice.
Role Responsibilities
The successful candidate will assist in ensuring the effective and efficient operation of our practice by:

- Processing electronic referrals and managing appointment bookings through the relevant systems.
- Monitoring and following up on advice and guidance referrals, ensuring thorough documentation and communication with medical staff.
- Handling incoming and outgoing mail, maintaining an organized filing system, and managing practice emails efficiently.
- Entering all correspondence into the clinical system and logging referrals accurately.
- Prioritizing urgent correspondence and collaborating with colleagues to ensure timely responses.
- Providing coverage for team members during absences to maintain uninterrupted service.
- Facilitating communication among all staff and departments within the practice.
- Arranging appointments and managing telephone inquiries with professionalism.
- Establishing and maintaining secure administrative systems for easy access to information.
- Assisting in the retrieval of medical records and the completion of necessary reports.
- Coordinating with solicitors regarding patient records and managing invoicing as required.
- Processing patient results and liaising with healthcare professionals to ensure proper follow-up.
- Attending meetings and taking minutes, ensuring all relevant points are documented.
- Acting as a point of contact for staff reporting absences or delays.
- Maintaining adequate supplies of office materials to support efficient operations.
- Creating and updating template documents for practice use.
- Performing additional administrative tasks as needed.
