Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant (Ophthalmic)/Receptionist (Care Coordinator) to join our team at Faversham Medical Practice. As a key member of our administrative team, you will provide exceptional support to our clinical staff and patients, ensuring seamless day-to-day operations.

Main Responsibilities

  • Provide administrative support for Ophthalmology services, including registration, appointment scheduling, and data entry.
  • Manage patient records, maintain confidentiality, and ensure accurate and timely data entry.
  • Coordinate with clinical staff to ensure smooth clinic operations, including preparing clinic lists, sending appointment letters, and managing triage.
  • Assist with claims processing, including Enhanced, National, and Local Services.
  • Support the Finance Manager with monthly invoicing, processes, and data collection.
  • Provide exceptional customer service to patients, responding to queries, and resolving issues in a timely and professional manner.
  • Collaborate with the Community Services Manager to plan clinic dates, manage waiting times, and ensure optimal benefit for the practice and patients.
  • Perform various administrative tasks, including filing, scanning, and data entry, to maintain accurate and up-to-date records.

Requirements

  • GCSE grade A to C in Maths and English.
  • Excellent working knowledge of various IT systems, including Excel, Word, and the internet.
  • Experience in primary care/NHS/caring profession, preferably with EMIS clinical software.
  • Excellent communication and organizational skills, with the ability to maintain confidentiality and work autonomously.
  • Ability to deal with external organizations in a pleasant and professional manner.
