Position Summary:

The Sales Support role is responsible for executing all tasks related to sales and procurement, including liaising with vendors for pricing, preparing purchase orders and associated documentation, and maintaining project tracking. Additionally, this role provides support for payment processing and inventory management.

Key Responsibilities:

Generate customer quotations using Excel. Understand client requirements and obtain pricing from vendors and presales for quotations. Assist in the creation of customer and vendor profiles as needed. Attend sales meetings to provide Vietnamese translation support when necessary. Manage and update customer, supplier, and vendor records, including qualifications and credit limits. Oversee sales orders, project documentation, and related file management. Maintain and update partner systems and deal information. Process orders in Excel from creation through billing and project completion. Coordinate with suppliers regarding equipment delivery and expedite as needed. Prepare customs documentation and collaborate with logistics and technical teams on delivery schedules. Liaise with customers regarding delivery, billing, and other inquiries. Collaborate closely with technical teams on projects and service teams on maintenance and renewals. Monitor project timelines, milestones, and closures on a weekly basis. Create cadence and project tracking reports in Excel weekly. Assist with submission templates and facilitate submissions in both hardcopy and softcopy formats. Follow up with vendors, presales, and sales to ensure submission deadlines are met. Conduct monthly bookkeeping and management accounting. Track project payments and updates. Maintain stock inventory records.

Required Qualifications:

Degree in accounting, business administration, or a related field. 2-3 years of experience in a similar role and/or within the IT sector. Strong communication and analytical skills. Proficient in English communication. Proficiency in Mandarin is an advantage. Familiarity with Excel and Microsoft systems. Proactive, team-oriented, service-minded, and personable. Ability to thrive under pressure and in a fast-paced environment.
