Job Title: Sales Support Specialist

Job Summary:

The Sales Support Specialist will play a crucial role in implementing sales and purchase tasks, including contacting vendors for cost quotes, preparing purchase orders and related documents, and maintaining project tracking. The ideal candidate will have excellent communication skills, analytical skills, and proficiency in Excel and Microsoft systems.

Key Responsibilities:

  • Prepare quotations for customers in Excel.
  • Understand customer requirements and obtain costing from vendors and presales teams.
  • Assist in customer and vendor creation, as needed.
  • Accompany sales teams for meetings, providing Vietnamese translation support.
  • Manage customer, supplier, and vendor information, including qualifications, credit limits, and more.
  • Coordinate sales orders, project files, and project control lists.
  • Maintain and update partner systems and deal information.
  • Process orders in Excel from creation to billing and project closure.
  • Coordinate with suppliers on equipment arrival and expedite when necessary.
  • Prepare custom declaration documents and coordinate with logistics and technical teams on delivery schedules.
  • Work closely with technical and service teams on projects and maintenance.
  • Follow up on projects, milestones, and closures on a weekly basis.
  • Prepare cadence and project tracking reports in Excel.
  • Assist in submission preparation and coordination with vendors, presales, and sales teams.
  • Follow up on project payments and updates.
  • Manage stock inventory records.

Requirements:

  • Major in accounting or business administration or related fields.
  • Minimum 2-3 years of experience in a similar position or in the IT industry.
  • Excellent communication and analytical skills.
  • English communication ability.
  • Proficiency in Mandarin is a plus.
  • Knowledge of Excel and Microsoft systems.
  • Proactive, team-oriented, and service-minded personality.
  • Able to work under pressure and fast-paced environments.
