Role Overview

This role will act as the first point of contact for pre-planning and operational logistics for special events, both within our schools and at Head Office. You will support the marketing and Student Recruitment Team with promoting events and host visits from external and internal stakeholders, including parents, agents, VIPs, and Industry Partners.

You will take ownership of working with schools to plan and deliver high-quality visits. As a global organisation, we have various travel requirements for students, Partners, and staff. This role will ensure our travel service provider meets our specifications and support key business functions.

Responsibilities
  • Organise and deliver successful familiarisation (FAM) trips, including:
  • Creating sample FAM trip itinerary templates and checklists
  • Establishing budgets and key stakeholders
  • Coordinating delegate attendance and ensuring visa documentation is accurate and timely
  • Working with schools to establish trip schedules and maximise opportunities
  • Planning travel schedules, including transport, hotels, dining, and activities
  • Liaising with the Student Recruitment Team and school staff to ensure smooth planning and communication
  • Attending FAM trips as required to support the hosting Student Recruitment Team member
  • Actively seeking feedback from FAM trips and relaying it to internal stakeholders to improve the customer experience
  • Preparing welcome packs for visiting agents and sourcing gifts where required
  • Managing extensive global travel arrangements, including complex itineraries and scheduling across different time zones
  • Arranging inbound client visits to CGS schools
  • Arranging large-scale internal meetings, conferences, and events
  • Organising events, including budgeting, resourcing, planning, and delivery
  • Coordinating attendance and resources required for industry and agent fairs internationally
  • Resource and contract with key travel partners to design and market school trips throughout the academic year, maximising student engagement and ensuring breakeven
  • Working with activity leads within schools to ensure student sign-ups support the viability of the trip and align with budget expectations
Person Specification
  • Front-facing customer service background essential
  • Demonstrable experience in event planning
  • Travel industry background or exposure preferable
  • Exposure to international education organisations preferable
  • Previous experience in a busy, fast-paced, and challenging environment
  • Ability to work under pressure and to tight deadlines
  • First-class communication and organisational skills with the ability to liaise with stakeholders at all levels
  • Flexibility to attend evening and weekend client events when required
  • Strong computer literacy
