Overall Job Purpose

Provide administrative and technical support to the Corporate Secretarial team. This role offers the opportunity to develop a career as a chartered secretary through comprehensive training provided by RSM.

Responsibilities

  • Deliver administrative support to the Corporate Secretarial team, including raising fee notes, Companies House filings, and ensuring client compliance with the Companies Act 2006.
  • Assist with client onboarding procedures, such as gathering information on prospective clients, completing engagement acceptance programs, and preparing engagement letters.
  • Manage the sorting and distribution of client and departmental mail.
  • Maintain the Corporate Secretarial team's filing system, including creating file boxes, labeling files, and organizing both physical and digital documentation.
  • Process historic files for dissolved, transferred, or liquidated client companies, which includes preparing disengagement letters, collating statutory books and records, and adhering to RSM's document retention and destruction policies.
  • Undertake basic Company Secretarial tasks under supervision, such as preparing board minutes, resolutions, and forms; submitting documents to Companies House and HMRC Stamp Office.
  • Assist with maintaining clients' statutory registers on Diligent Entities, our dedicated Company Secretarial database.
  • Ensure accuracy and timely completion of all assigned tasks.
  • Communicate any challenges in complying with instructions promptly to senior personnel.
  • Actively seek feedback on completed work.
  • Accurately record daily time spent and ensure that charged time aligns with the performed work.
  • Continuously develop technical knowledge through relevant reading and courses.
  • Adhere to all RSM policies and procedures.
  • Perform other ad hoc tasks as requested.

Personal and Professional Qualities

  • Education to at least A Level standard or equivalent, with a minimum grade B GCSE in English Language and Maths.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Word, PowerPoint, and Excel.
  • Ability to work independently and as part of a team.
  • Strong organizational and time-management abilities.
  • Capacity to work effectively under pressure.
  • Flexibility and adaptability.
  • A keen interest in Company Law, Company Secretarial Practice, or Anti-Money Laundering legislation is preferred.
