Overall Job Purpose
Provide administrative and technical support to the Corporate Secretarial team. This role offers the opportunity to develop a career as a chartered secretary through comprehensive training provided by RSM.
Responsibilities
- Deliver administrative support to the Corporate Secretarial team, including raising fee notes, Companies House filings, and ensuring client compliance with the Companies Act 2006.
- Assist with client onboarding procedures, such as gathering information on prospective clients, completing engagement acceptance programs, and preparing engagement letters.
- Manage the sorting and distribution of client and departmental mail.
- Maintain the Corporate Secretarial team's filing system, including creating file boxes, labeling files, and organizing both physical and digital documentation.
- Process historic files for dissolved, transferred, or liquidated client companies, which includes preparing disengagement letters, collating statutory books and records, and adhering to RSM's document retention and destruction policies.
- Undertake basic Company Secretarial tasks under supervision, such as preparing board minutes, resolutions, and forms; submitting documents to Companies House and HMRC Stamp Office.
- Assist with maintaining clients' statutory registers on Diligent Entities, our dedicated Company Secretarial database.
- Ensure accuracy and timely completion of all assigned tasks.
- Communicate any challenges in complying with instructions promptly to senior personnel.
- Actively seek feedback on completed work.
- Accurately record daily time spent and ensure that charged time aligns with the performed work.
- Continuously develop technical knowledge through relevant reading and courses.
- Adhere to all RSM policies and procedures.
- Perform other ad hoc tasks as requested.
Personal and Professional Qualities
- Education to at least A Level standard or equivalent, with a minimum grade B GCSE in English Language and Maths.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Word, PowerPoint, and Excel.
- Ability to work independently and as part of a team.
- Strong organizational and time-management abilities.
- Capacity to work effectively under pressure.
- Flexibility and adaptability.
- A keen interest in Company Law, Company Secretarial Practice, or Anti-Money Laundering legislation is preferred.
