Spire Healthcare is seeking a skilled Healthcare Administrative Assistant to become part of our dedicated team, providing essential support to our esteemed Consultants in delivering exceptional service.

Role Overview

As a Healthcare Administrative Assistant, your primary responsibilities will include delivering comprehensive administrative support to Consultants. This role necessitates outstanding communication abilities, proficiency in computer applications, and the capacity to maintain composure when interacting with clients.

KEY RESPONSIBILITIES:

To offer a proficient administrative service to all Consultants. To accurately transcribe all Consultants' clinic notes and correspondence to General Practitioners and external organizations, adhering to deadlines. To address patient inquiries with tact and sensitivity, particularly when handling delicate matters. To collaborate with Consultants and their administrative staff to resolve patient inquiries and complaints promptly. To manage all correspondence, phone calls, and inquiries for at least six Consultants, ensuring high standards of accuracy and detail. To effectively communicate with GP surgeries and other healthcare professionals, including Occupational Health Nurses and physiotherapists. To provide copies of clinic letters as required. To open and distribute mail for Consultants. To transcribe discharge summaries and operation notes as dictated by Consultants. To log all incoming clinic and theatre documentation, insurance claims, and distribute them appropriately. To procure office supplies and stationery for Consultants. To maintain close communication with the Outpatient Department, Medical Records, NHS Team, and other hospital departments. To assist in the training of new and junior Healthcare Administrative Assistants. To complete all mandatory training, including fire safety and health protocols. To ensure consistent service delivery during periods of absence by providing adequate cover for administrative tasks. To contribute to the enhancement of departmental processes. To familiarize oneself with company policies and procedures. To deliver exemplary customer service to all service users, including consultants, patients, and colleagues. To undertake any other reasonable duties as directed by the Senior Healthcare Administrative Assistant.

QUALIFICATIONS, TRAINING & EXPERIENCE:

A solid educational background. Exceptional communication skills. A professional telephone demeanor. A strong understanding of medical, anatomical, and physiological terminology. Familiarity with IT systems. RSA level II or equivalent qualifications.
