Scope & Purpose

The Project Coordinator is the primary point of contact for day-to-day customer and supplier interactions. This role involves establishing excellent relationships with contractors, shopfitters, electricians, cablers, and suppliers to ensure successful project delivery. As a Project Coordinator, you will work closely with the Project Manager to prepare comprehensive action plans, including resources, timeframes, and budgets for various projects.

Key Responsibilities

  • Ensure customer/hardware orders are processed according to company procedures.
  • Coordinate customer tasks, allocating engineering resources as needed.
  • Ensure Celestra's internal systems are up-to-date, enabling seamless project delivery.
  • Collaborate with the Project Administrator to maintain accurate documentation and handle financial queries.
  • Create templates for delivery tasks and communicate effectively with clients and Project Managers.
  • Resolve minor issues and escalate to the chain of command as necessary.
  • Verify invoicing information for accurate billing.
  • Communicate with field resources regarding job details, instructions, closures, and costings.
  • Perform administrative tasks, including daily/weekly reporting and other ad-hoc duties.
  • Generate quotations from set fees for project tasks.
  • Ensure adherence to Project Management principles within Celestra's guidelines and processes.

Requirements

  • Proven experience in customer service or office administration.
  • Understanding of Project Management principles, including risks, issues, and change control.
  • Excellent organizational skills in a fast-paced environment.
  • Ability to work efficiently and complete documentation accurately.
  • IT literacy, including MS Office Package and system management experience.
  • Decisive, tenacious, and committed individual.
  • Willingness to learn and adapt, taking ownership of tasks.
  • Attention to detail and effective communication skills.
