Position Overview

We are excited to present an opportunity within our Inpatient wards at University Hospitals Sussex NHS Foundation Trust for a dedicated and proactive individual to become part of our Ward Administration team.

Available Positions: Full-time and Part-time roles (30 hours per week) with a shift pattern covering Monday to Sunday.

The ideal candidate will deliver a comprehensive administrative service within the Clinical Administration Inpatients Department.

We seek to recruit adaptable, dynamic, and driven ward coordinators for our fast-paced and welcoming Inpatient Team. Your role will be crucial in ensuring the smooth operation of duties across a designated group of wards and departments. You will facilitate the efficient and timely admission, transfer, and discharge of patients, manage medical records, and ensure accurate and prompt data entry into our Patient Administration System (PAS) to support patient care and data integrity.

Key Responsibilities

Your duties will involve close interaction with patients, their families, and a multidisciplinary team of healthcare professionals, including nurses, doctors, physiotherapists, and pharmacists. As one of the first points of contact for patients and their relatives, you will address inquiries in person, over the phone, and via email. Therefore, the successful candidate must possess exceptional communication skills, both verbal and written, along with the ability to multitask and maintain composure in high-pressure situations.

University Hospitals Sussex NHS Foundation Trust is committed to continuous professional development and actively supports staff training within the department.

Appointment to this position will start at the lowest salary point unless otherwise specified by HR Employment Services.

Job Responsibilities

Your role will require close collaboration with patients, their families, and a multidisciplinary team of healthcare professionals. You will be one of the first individuals our patients and their families encounter upon entering our facility, and you will handle inquiries in person, over the phone, and via email. Consequently, the successful candidate must demonstrate excellent communication abilities and a strong aptitude for multitasking while remaining calm under pressure.

The position encompasses a variety of general administrative tasks, primarily utilizing the PAS Careflow System and Symphony. Additional tools include Outlook, Excel, Word, Spine Portal, Bloodhound, or Panda. While prior experience with our systems is not mandatory, a basic level of computer literacy and proficiency in Microsoft Office is essential.
