Job Summary

We are seeking a highly organized and proactive individual to join our Operations Team as a Coordinator. The successful candidate will be responsible for coordinating and planning the logistics of our open water swimming holidays, ensuring that all trips are delivered to the highest safety standards.

Key Responsibilities
  • Administrative Tasks
    • Assist in coordinating and planning the organization and overall logistics of equipment.
    • Coordinate the guides and equipment travel/postage arrangements to/from location.
    • Ensure all trip documentation is accounted for and correct, including but not limited to:
    • Collecting guides' feedback weekly and actioning discrepancies
    • Producing and sending guides' contracts
  • Coordinating Travel
    • Undertake guiding/trip familiarization when required
    • Support our international team of guiding staff and cost-effectively and logically manage a portfolio of travel arrangements
    • Troubleshoot travel complications for active departures/returns
  • Health and Safety
    • Undertake guiding/trip familiarization when required
    • Organize location health and safety paperwork and auditing
    • Coordinate and revise location-based Risk Assessments
  • Location Support
    • Be proactive in complaint handling and troubleshooting
    • Support the Operations team in the handling of all and any incidents
  • Financial and Commercial
    • Purchase and order equipment in line with the budget and with sustainability in mind
    • Check and track contractors' invoices and payments.
    • Coordinate and authorize guide invoices and expenses
Requirements
  • A proactive and organized individual, with a keen eye for detail.
  • Able to use initiative and work independently as required.
  • A team player, able to work under pressure and multi-task.
  • Able to complete administrative and financial processes accurately.
  • Friendly and enthusiastic, with strong interpersonal skills.
  • Ability to work within a busy department.
  • A good working knowledge of Microsoft Office
  • Previous experience in a similar role
Desirable Qualifications
  • Hold a current Beach Lifeguard qualification
  • First Aid at Work Qualification.
  • To hold or be able to hold an RYA Powerboat Level 2 Qualification and International Certificate of Competency.
  • Open water swimming experience.
  • Experience working in a water safety capacity.
