Salary - £25,500 26 days Annual Leave plus bank holidays

Hours- 9am to 5.30pm Mon to Fri

Our company is a well-established provider of aesthetic services, seeking a highly skilled and experienced Front of House Receptionist to join our team. As a Receptionist, you will be the first point of contact for patients and clients, providing a warm and welcoming experience.

Key Responsibilities:

  • Greet and welcome patients and clients, ensuring a smooth and efficient experience.
  • Manage the flow of patients through the clinic, providing information and updates as needed.
  • Ensure a calm and reassuring ambiance in the reception area.
  • Operate a smooth-running reception, maintaining a tidy and organized environment.
  • Provide information about treatments and products offered, reminding patients of available appointments.
  • Answer telephone enquiries, taking personal responsibility to assist and follow up as needed.
  • Follow through on all messages taken, ensuring that enquiries are dealt with in full.
  • Ensure patient details are accurate and up-to-date, entering information into the system as required.
  • Book consultations and follow-up appointments, providing accurate timings and directions to patients.
  • Make appointment confirmation calls, rearranging as needed.
  • Only leave the reception area when alternative cover has been arranged.
  • Open and distribute mail, date-stamping as necessary.
  • Assist with registering daily payments, inputting accurate information into the system.
  • Take payments over the phone or via Worldpay link, registering details on Pabau.
  • Complete the daily totals report, emailing to accounts.
  • Ensure the clinic list is ready ahead of time, sending out Zoom links to patients as required.
  • Send the clinic list the day before, printing it out the morning of clinic.
  • Send the hospital the theatre lists at the start of the week, as directed.
  • Ensure the Nurse list is ready for the following day, pulling notes as necessary.
  • Call back patients who 'DNA' appointments, rebooking as needed.
  • Deal with general enquiries from the team.
  • Print off the following day's clinic list, ensuring a paper backup in case of system failure.
  • Check GP forms, ensuring patient details are up-to-date and accurate on Pabau.
  • Assist with email enquiries, covering as directed by the Clinic Manager.
  • Reply to out-of-office messages, as directed.
