Position Overview

The individual in this role will play a vital part within the pharmacy governance division, ensuring that exceptional administrative and clerical support is consistently delivered while assisting the management team in this sector. Candidates should possess prior experience in general administrative functions to effectively support both the Associate Chief Pharmacist for Clinical Governance and the Pharmacy Clinical Governance Operational Lead in managing the Trust's Non-Medical Prescribing and Patient Group Direction approval workflows, in addition to aiding the broader pharmacy governance team with audit activities. The position entails a specified number of hours per week, with part-time arrangements being a possibility based on the total hours required. The role will involve collaboration across various Trust locations to fulfill the aforementioned responsibilities.

Key Responsibilities

The individual will serve as a primary contact for the Trust's pharmacy governance division.

Responsibilities will encompass providing comprehensive administrative assistance to the Associate Chief Pharmacist for Clinical Governance and the Pharmacy Clinical Governance Operational Lead, as well as the wider pharmacy governance team. The individual will address all pertinent inquiries and concerns, ensuring timely responses.

The role includes supporting the approval procedures for Non-Medical Prescribing within the Trust and managing the documentation approval process for Patient Group Directions. Additionally, the individual will oversee medication audit processes and maintain relevant contact databases. The role will also require facilitating and documenting the Trust's Safe Medication Practice and Medical Gas meetings.

The individual is expected to prioritize their workload effectively and work autonomously within the pharmacy governance team. Strong communication skills and a collaborative spirit are essential.

Candidate Profile

Qualifications

Essential

  • *Strong General Education (GCSE English and Maths A-C/4-9 or equivalent);
  • *RSA level II or equivalent experience;
  • *Business Administration NVQ level 3 or equivalent experience in an administrative context.

Experience

Essential

  • *Experience in public-facing roles/customer service;
  • *Proven experience in a secretarial/administrative capacity with a track record of problem-solving;
  • *Proficiency in a variety of Microsoft Office applications (Word, Excel, and Outlook);
  • *Understanding of routine and non-routine issues, including problem-solving for specific work areas;
  • *Comprehensive knowledge of Information Governance and Patient Confidentiality;
  • *Demonstrated understanding of equality and diversity principles.

Desirable

  • *Prior experience in transcribing formal minutes;
  • *Familiarity with Trust IT systems;
  • *Experience in a fast-paced environment;
  • *Background in healthcare settings.
