About the Role

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at Assystem UK. As the face of our organization, this role is pivotal to maintaining and influencing our culture, ensuring the smooth operation of our Bristol office, and providing exceptional customer service to our visitors.

Key Responsibilities
  • Reception Management: Manage the reception desk during core hours, ensuring that every visitor is greeted with a friendly face and that security processes are adhered to.
  • Visitor Coordination: Act as the main point of contact for visitor passes and for visitors attending the building.
  • Office Administration: Order and maintain levels of office supplies, including tea, coffee, and stationery.
  • Facilities Management: Liaise with the landlord and/or facilities team when required.
  • Event Support: Assist with large meetings and events, including organization, minute-taking, and coordination.
  • Document Management: Photocopying, printing, and scanning.
  • Recruitment Support: Assist with recruitment administration, including formatting documents.
  • Health and Safety: Act as the Responsible Health and Safety Officer for the Bristol office, maintaining adequate levels of H&S and reporting any issues to the H&S team.
  • Equipment Management: Manage office equipment, coordinating with IT Support for troubleshooting and maintenance.
Requirements
  • Previous Experience: Previous experience in a similar role, such as Administrator or Office Manager.
  • Personable Approach: A personable approach with the ability to develop positive working relationships at all levels within an organization.
  • Autonomy and Pressure Management: Ability to work autonomously, under pressure, and with conflicting and changing priorities.
  • Organizational Skills: Organized and well-presented.
  • Attention to Detail: Strong attention to detail.
  • Technical Skills: Ability to effectively use Microsoft Office applications.
  • Communication Skills: Good literacy and communication skills.
  • Problem-Solving: Initiative, judgement, and drive to resolve many day-to-day challenges independently.
