Job Description

ARDETA SEARCH LIMITED is seeking an experienced Operations Assistant to join our team. As an Operations Assistant, you will play a crucial role in ensuring the smooth operation of our office and supporting our creative production and casting studio.

Key Responsibilities:
  • Operational Support: Assist with daily operational tasks, ensuring efficient workflow and process management.
  • Inventory Management: Maintain office inventory, equipment, and supplies to support ongoing projects and office functionality.
  • Vendor Management: Manage day-to-day relationships with external vendors, including cleaning teams, IT support, and other office-related queries.
  • Logistics Coordination: Assist in the coordination of logistics for fashion productions, including photoshoots.
  • Material Sourcing: Assist in sourcing materials and managing vendor relationships, ensuring timely delivery of required items.
  • Travel Arrangements: Arrange transportation and accommodation for production teams, models, and clients as needed.
  • Project Management: Monitor project timelines and help ensure deliverables are met on schedule.
  • Communication: Facilitate communication between creative teams, external partners, and stakeholders to align on project objectives and timelines.
  • Administrative Support: Provide administrative support to the team, including managing schedules, booking meetings, and preparing reports.
  • Data Management: Keep databases updated, including client information, production schedules, and inventory lists.
  • Customer Service: Handle inbound inquiries with professionalism, maintaining confidentiality as needed.
Requirements:
  • Education: Bachelor's degree in Business, Fashion Management, or related field.
  • Experience: 1-2 years of experience in operations, administration, preferably in the fashion or creative industries.
  • Skills: Strong organisational skills and the ability to prioritise tasks in a fast-paced, deadline-driven environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software. Familiarity with the luxury fashion industry and a deep appreciation for high-end production processes.
