Job Summary

We are seeking a highly organized and detail-oriented Financial Planning Administrator to provide administrative support to our Financial Planner and team members in the financial planning department.

Main Responsibilities
  • Liaise with clients to arrange and confirm meetings and appointments.
  • Manage and maintain client files, both physical and electronic, in a secure and confidential manner.
  • Communicate with providers to obtain contract information and documentation.
  • Organize and collate contract information into a clear and concise spreadsheet.
  • Process investment risk profiling questionnaires and obtain necessary illustrations and quotations.
  • Prepare and print documents for client distribution, including application forms and contract information.
  • Provide secretarial and reception support as needed, including photocopying, scanning, and filing documents.
  • Assist with annual reviews and obtain contract valuations.
  • Conduct research on funds and portfolios to provide informed recommendations.
  • Keep clients informed of progress and provide updates as necessary.
  • Manage tax vouchers and sale and acquisition information.
  • Maintain a schedule of dividends and ensure accurate record-keeping.
  • Provide administrative support to the Financial Planner and Office Manager as required.
  • Submit new business applications and ensure a smooth setup process.
  • Prepare cashflow models and conduct product, investment, and market research.
  • Confirm shareholdings, produce probate valuations, and transfer ownership/sell shares and other investments as needed.
