Overview

An excellent opportunity has emerged for a Facilities Administrator to assist the Facilities Manager on a fixed-term contract. This role involves a full-time commitment of 37.5 hours per week, operating Monday to Friday from 9am to 5pm, with a 30-minute unpaid lunch break.

Key Responsibilities

  • Support the Facilities Manager in coordinating and documenting essential services to ensure building safety, which includes fire, electrical, and gas safety, as well as security and waste management.
  • Assist with administrative tasks related to contract management for routine services, leases, and management agreements.
  • Engage in administrative functions such as recording and reviewing data, compiling records and technical information, and establishing filing systems.
  • Process goods and service requests, manage invoice processing, and update budget spreadsheets accordingly.
  • Collaborate with the Housing Management team, Housing Associations, Local Authorities, and other stakeholders to facilitate responsive repairs, planned maintenance, and improvements.
  • Coordinate the onboarding of contractors and take minutes during meetings as necessary.

Candidate Profile

  • A minimum of 2 years' experience in an administrative role within housing, estates, or facilities management.
  • Understanding of Health & Safety regulations pertinent to the housing sector.
  • Proficient in Microsoft Office Suite, including Word and PowerPoint.
  • Strong skills in Excel, with the ability to manipulate and analyze data effectively.
  • Capability to comprehend technical data, including reports and financial information.
  • Exceptional attention to detail.
  • Experience with CRM systems or helpdesk software is advantageous.
  • Excellent communication skills.
