Job Overview

The successful candidate will join the University Hospitals Bristol and Weston NHS Foundation Trust (UHBW) team, taking charge of the organization and management of various outpatient clinics. This role encompasses the handling and processing of patient referrals in alignment with established Patient Access Policies and local Referral to Treatment (RTT) protocols. As an Outpatient Services Coordinator, you will be a key point of contact for patients seeking our services, ensuring that the highest standards of patient care are upheld in accordance with the Trust's core values.

Key Responsibilities

Communication: - Engage with patients, clinical staff, wards, GPs, and Trust support personnel through various channels including face-to-face interactions, telephone, and email as required. - Proactively escalate patient inquiries and any relevant issues to the appropriate clinical staff or line manager.

Patient Care: - Demonstrate a compassionate and professional demeanor towards patients, their families, and caregivers. This may involve providing support to patients and relatives who may be experiencing distress. - Collaborate with the Lung Multi-Disciplinary Team (MDT) to provide patients with essential next-step information as directed. - Manage the addition of patients to the Ward admissions list, reviewing and modifying entries as guided by medical staff.

Organization and Planning: - Execute various clerical tasks, such as maintaining organized filing systems, managing incoming mail, coordinating courier services, and scanning patient records when necessary. - Ensure that patient information materials are current and accurate. - Upload necessary documents into clinical systems and accurately input data into an External National Database.

Knowledge and Experience

Essential:

Experience in clerical or administrative roles, including filing and/or reception duties. Proven ability to interact with the public, both over the phone and in person.

Desirable:

Previous experience within the NHS.

Skills and Abilities

Essential:

Professional and courteous telephone communication skills. Flexibility in approach to various tasks. Capability to work under pressure and meet deadlines while maintaining accuracy. Strong organizational skills. Proficiency in IT, including Microsoft Office applications. Confidence in managing challenging conversations with patients and their families. Attention to detail. Ability to work effectively within a busy team environment, adapt to changes, and inspire others. Competence to work independently as well as collaboratively within a team.

Qualifications and Training

Desirable:

GCSE qualifications at grade C or above (or equivalent) in English Language and Mathematics. Business and Administration Level 3 NVQ or equivalent experience.
