Outpatient Services Coordinator

Job Overview
The successful candidate will join the University Hospitals Bristol and Weston NHS Foundation Trust (UHBW) team, taking charge of the organization and management of various outpatient clinics. This role involves the systematic handling of referrals in alignment with the Patient Access Policy and local Referral to Treatment (RTT) guidelines. As an Outpatient Services Coordinator, you will be the primary point of contact for patients engaging with our services, ensuring that high standards of patient care are upheld in accordance with the Trust's values.
Key Responsibilities
Communication: - Engage with patients, wards, clinical personnel, general practitioners, and Trust support staff through face-to-face interactions, phone calls, and emails as required. - Address patient inquiries and escalate any relevant issues to clinical staff or your line manager when necessary.
Patient Care: - Demonstrate a compassionate and professional demeanor towards patients, their families, and caregivers. This may involve maintaining composure when interacting with distressed individuals and providing empathetic support. - Collaborate with the Lung Multi-Disciplinary Team (MDT) to offer patients information regarding their next steps as directed by the team. - Manage patient admissions by adding them to the Ward admissions list and making adjustments as instructed by medical staff.
Organization and Planning: - Perform clerical tasks such as maintaining organized filing systems, processing incoming mail, coordinating courier services, and scanning patient records when necessary. - Ensure that patient information materials are current and accurate. - Upload documentation into clinical systems and enter data accurately into an External National Database.

Knowledge and Experience
Essential: - Experience in clerical or administrative roles, including filing and/or reception duties. - Proven ability to interact with the public, both in person and over the phone.
Desirable: - Previous experience within the NHS.
Skills and Abilities
Essential: - Professional telephone etiquette. - Adaptability in handling various tasks. - Capability to perform under pressure while maintaining accuracy. - Strong organizational skills. - Proficiency in IT, including Microsoft Office applications. - Confidence in managing challenging conversations with patients and their families. - Attention to detail. - Ability to work effectively within a busy team, adapt to changes, and inspire others. - Competence to work autonomously as well as collaboratively.
Qualifications and Training
Desirable: - GCSEs at grade C or above (or equivalent) in English Language and Mathematics. - Business and Administration Level 3 NVQ or equivalent experience.
