About the Role:

We are seeking a highly skilled Commercial Planning Coordinator to join our team. As a Commercial Planning Coordinator, you will be responsible for overseeing the planning, management, and execution of commercial moves, adds & changes projects of varying sizes and complexities for our key clients.

Key Responsibilities:

  1. Project Management: Serve as the primary contact for all stakeholders involved in moves, adds & changes projects.
  2. Space Planning: Support the relocation process in collaboration with the Space Planning Lead and manage associated specialists.
  3. Communication: Maintain effective communication with client representatives and service providers throughout the project.
  4. Project Lifecycle: Oversee the entire Space Planning project lifecycle, including client meetings, budget management, health and safety compliance, and contractor scheduling.
  5. Site Surveys: Conduct site surveys for relocations, clearances, and office furniture layouts, and update AutoCAD drawings as needed.
  6. Space Planning Software: Use AutoCAD Space Planning to create detailed and accurate layout plans and proposals that optimise space utilization.
  7. Project Coordination: Manage projects from initiation to completion, both onsite and financially.
  8. Handover: Coordinate with FM site teams to ensure smooth handovers of relocation projects.
  9. Quality Control: Supervise out-of-hours relocation work to ensure client occupation readiness.
  10. Risk Management: Minimize project risks and exposures.
  11. Self-Audit: Perform self-audits and quality control on all documents, drawings, and standards.

Requirements:

  1. Experience: Proven experience in delivering Space Planning services or an equivalent.
  2. Software Skills: Proficiency in Microsoft Office and relevant Space Planning services management software.
  3. AutoCAD: Experience of AutoCAD.
  4. Knowledge: Knowledge of office space planning is advantageous.
  5. Facilities Management: Familiarity with Facilities Management and CAFM systems.
  6. Travel: Valid driving licence. Flexibility to work overtime. Willingness to travel within Scotland, the North of England, and occasionally to the London area.
